SkillOnDemand Privacy Policy

Version 2026-08-18. This describes how SkillOnDemand handles information. It is not legal advice.

1. Who we are

SkillOnDemand is a product of CodeBay Labs LLC (“we,” “us”). This policy describes how SkillOnDemand handles information when you use the Service. It is not legal advice. Enterprise customers may have a superseding written agreement.

2. Organization and account information

We store organization workspace details (such as organization name and settings) and user account information needed to sign in and assign roles. That typically includes name, email address, role or membership, and authentication data such as a password hash. If your organization enables SMS two-factor authentication, we store the phone number used for those codes.

3. Company knowledge

When an organization uploads procedures, policies, product guides, or other materials, that content is stored in that organization’s SkillOnDemand workspace so the Service can create learning and practice from approved knowledge. Organization administrators control what is uploaded and who may access the workspace.

4. Learning, practice, and progress

We store learner activity that the product needs to operate, including practice sessions, scores, competency progress, reflections, and related readiness or reporting data. Managers and administrators in the same organization can see progress that the product is designed to show them. Historical practice records are kept so later changes to knowledge readiness do not erase prior learner evidence.

5. Support and feedback

If you contact us or submit in-product feedback, we receive the message content and any contact details you include so we can respond and improve the Service. Please do not include passwords or unnecessary personal data in feedback.

6. Technical and security information

The Service records operational events needed to run and secure the product, such as product analytics events, session activity, and diagnostic logs. A device identifier may be stored in the browser so the workspace can associate local activity with a signed-in user. We use session cookies and similar browser storage for authentication, terms acceptance, and product preferences.

7. How we use information

We use this information to provide SkillOnDemand, authenticate users, keep organizations separated, generate learning and practice from approved knowledge, measure learner progress, support customers, maintain security, and improve the Service.

8. AI processing

Some learning, coaching, and knowledge features send relevant workspace content and learner responses to AI model providers we use to deliver those features. Those providers process that information as part of generating coaching or learning assistance. We do not use this policy to claim that providers never train their models on that data. Ask us if you need current subprocessors or contractual terms.

9. Service providers

We use infrastructure and communication providers to host the Service, send transactional email (such as Microsoft 365 when configured), and deliver SMS authentication codes when that option is enabled. Those providers process information only as needed to provide their services to us.

10. Organization control and isolation

SkillOnDemand is organized by company workspace. Access is scoped to the organization a user belongs to, plus platform operators who administer the product. Administrators in your organization can invite users, assign roles, and manage knowledge and membership for that workspace.

11. Security

We transmit information over HTTPS. Access to organization data is limited by account authentication and organization membership. We do not describe a specific disk-encryption product or certification in this policy.

12. Cookies and analytics

We use first-party cookies and browser storage for sign-in sessions, security, and product function. The Service also records first-party product events used for operation and reporting. This policy does not claim the use of a named third-party advertising or marketing analytics pixel.

13. Retention and deletion

We keep account, knowledge, practice, and operational records for as long as needed to provide the Service to the organization and to maintain security. Specific deletion timelines can depend on the organization’s deployment and any written agreement. Contact us if you need a workspace deleted or exported.

14. Your choices and rights

You may update certain account details in the product, and organization administrators can manage membership. Depending on where you live, you may have legal rights to access, correct, or delete personal information, or to object to certain processing. Send requests to support@codebaylabs.com. We may need to verify the request and coordinate with your organization when the information is held in their workspace.

15. Children

SkillOnDemand is a workplace product. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

16. Changes

We may update this Privacy Policy. The version identifier is 2026-08-18. We will post the updated policy on this page. If a change is material, we will provide additional notice when required.
